INFORMATION WE MANAGED

By hiring documents management, administrative advice, contract drafting, legal consultancy, accounting, tax statements, payroll or financial advice, we process information according to the specific service contracted.

The data we handle vary significantly depending on the type of service: from basic corporate information (social reason, RFC, contacts) to complete tax documentation, accounting records, payroll employee information, or legal files for legal advice. In intellectual property services we handle information about brands and works to register. For government procedures we process official documentation required by each authority.

The information comes to us when you provide it directly when you hire, when we receive it from government authorities during processing, or when we access systems that you authorize for accounting or administrative services.

FOR WHAT THE USES FOR

The data are used exclusively for the implementation of the professional services contracted: manage procedures for SAT, IMSS, IMPI and other units, develop legal and administrative documentation, conduct accounting and tax analysis, prepare tax returns, process payroll, and provide specialized advice.

Occasionally, we send information on policy updates relevant to your activity or changes in legislation that may affect you. You may request not to receive these communications without affecting the services contracted.

Share with third parties

By the nature of our services, we must share information with government authorities (SAT, IMSS, notaries, public records) when managing procedures on their behalf. Also with external professional partners (specialized accountants, associate lawyers, managers) under strict confidentiality when a project requires it.

VOCATIONAL RESPONSIBILITY

As a firm of professional services, our action is governed by strengthened confidentiality obligations, even higher than those provided for in the general data protection legislation. All the information you entrust to us is protected under the rules of professional secrecy applicable to accountants, lawyers and consultants, in accordance with the codes of ethics and technical standards governing these professions.
The processing of personal data we do is carried out exclusively for the proper provision of our services, under strict criteria of integrity, reservation, legality and responsibility.

ACCESS AND CONTROL

You may at any time exercise the rights of access, rectification, cancellation or opposition to your personal data (ARCO Rights) by a written request sent to the mail consultas@ordenlegal.com.mx.
To process your application, you must include:

● Full name or business name of the holder.

● Copies of an official identification in force (and, where appropriate, document attesting representation).

● A clear and precise description of the right you want to exercise or the information you want to modify.

Once your request has been received, we will issue a reply within a maximum period of time. 20 working daysin accordance with the applicable rules.

DOCUMENTAL RETENTION

The information is kept strictly within the legal and professional time limits corresponding to the nature of the service:

● Accounting, fiscal and financial information: is maintained for the minimum period established by Mexican tax legislation (at least 5 years), or for the period necessary to comply with audits, reviews or authorities' requirements.

● Legal documents: are retained in accordance with the terms of limitation and professional obligations applicable to the type of case or procedure.

● Administrative and operational documentation: is maintained for as long as there is an existing contractual relationship and, once completed, for reasonable time limits for subsequent reviews, clarifications or internal and external audits.

After such time limits, the information shall be safely deleted or anonimized.

SECURITY

To protect the integrity and confidentiality of information in our custody, we implement administrative, technical and physical measures in line with industry's best practices. These include, inter alia:

● Controls of restricted access to facilities and files.

● Computer systems protected by firewalls, enhanced authentication, and continuous monitoring.

● Data and electronic communications.

● Internal protocols for the classification and management of sensitive information.

● Continuing training of staff on confidentiality, professional ethics and data protection obligations.

These measures are reviewed and updated on a regular basis to ensure their effectiveness and adequacy to existing risks.

STANDARDS

Our services are intended exclusively for natural persons with legal capacity to hire and for moral persons represented by those with sufficient powers. We do not deliberately seek personal information from minors.

If, by any means, we identify that information relating to a child has been obtained, we shall immediately remove it from our records, unless there is a legal obligation that provides otherwise.
